Policy Template for Corporate Ethics
1. Purpose
{{organization.name}} is committed to protecting employees, customers, partners, vendors and the company from illegal or damaging actions by individuals, either knowingly or unknowingly. This policy establishes behavioural and ethical standards for {{organization.name}}’s employees, vendors and the company and serves to guide business behaviour to ensure ethical conduct.
2. Scope
This policy applies to all employees, contractors, consultants, temporaries, and other workers at {{organization.name}} (collectively referred to as “staff” in this policy).
3. Policy
3.1 Executive Commitment to Ethics
Executives must have an open door policy and welcome suggestions or concerns from staff. This will allow staff to feel comfortable discussing any issues or concerns within the organization. Executives must disclose any conflicts of interest regarding their position within {{organization.name}}.
3.2 Employee Commitment to Ethics
{{organization.name}} employees shall treat everyone fairly, with mutual respect, promote a team environment and avoid the intent and appearance of unethical or compromising practices.
Employees shall acquaint themselves with and abide by the {{organization.name}}’s mission, values, vision, operating principles, and policies.
Every employee needs to apply effort and intelligence in maintaining ethical values.
Employees shall refrain from condoning as well as participating in, or engaging in dishonesty, fraud, deceit or misrepresentation.
Every employee shall comply with all applicable legal regulations, legal statutes, and with standards of equity and justice. Employees shall strive to meet and exceed the requirements of their designated position.
Always act in good faith and integrity in their relationships with other people when they interact with at {{organization.name}}, either internal or external.
Respect differences and embrace diversity in our people, this includes (but not limited to) age, colour, race, citizenship, place of origin, disability, gender, family status etc.
Refrain from the use of profanity, verbal abuse or violence.
Maintain complete confidentiality regarding {{organization.name}} affairs and decisions, during and after their tenure with {{organization.name}}.
Respect and abide by management decisions.
Refrain from engaging in public criticism that would jeopardize the reputation of {{organization.name}} and its employees or appointees}.
3.3 Maintaining Ethical Practices
{{organization.name}} shall reinforce the importance of ethical and integrity practices. Every employee of the {{organization.name}} needs to consistently maintain an ethical stance and support ethical behaviour.
Employees and appointees of {{organization.name}} must notify their supervisor if they have a conflict of interest or potential conflict of interest.
Prohibited activities for staff and appointees include, but are not limited to, using their position to directly or indirectly benefit themselves, their spouse, or their children, accepting gifts, giving preferential treatment or creating the appearance of giving any preferential treatment, and making personal use of {{organization.name}} resources including its premises, equipment or supplies.
3.4 Unethical Behavior
{{organization.name}} shall avoid the intent and appearance of unethical or compromising practise in relationships, actions and communications. Employees shall not participate in any acts of corruption, bribery or other illegal behaviour.
Unauthorized use of company trade secrets & marketing, operational, personnel, financial, source code & technical information integral to the success of the {{organization.name}} is not permitted in any scenario.
{{organization.name}} employees shall not use corporate assets or business relationships for personal use or gain.
Employees shall refrain from accepting gifts from clients or partners. Any bribery for the benefit of any external or internal party is prohibited.
Employees shall not abuse their employment benefits. This can refer to time off, insurance, facilities, subscriptions or other benefits that the company offers.
